CHILD SAFEGUARDING

Safety is an everyday practice, not a statement on paper.

Safeguarding depends on clear adult conduct, attentive supervision, prompt reporting, controlled information access and respectful communication with every learner and family.

01

Child-first decisions

The safety, dignity and wellbeing of every learner come before convenience, publicity or operational pressure.

02

Appropriate adult conduct

Staff, volunteers, contractors and visitors must maintain professional boundaries and use approved communication channels.

03

Prompt reporting

Concerns about abuse, neglect, unsafe conduct or suspicious access should be reported immediately through the designated school route.

04

Controlled access

Learner records, photographs and school-management information should be available only to authorised people for legitimate purposes.

05

Confidential handling

Information is shared only with those who need it to protect a child, respond lawfully or carry out an authorised school function.

06

No retaliation

Good-faith concerns should be received respectfully and investigated without punishing the person who raised them.

Read Safeguarding Policy

PRIVACY IN PRACTICE

Information should be collected with purpose and handled with care.

The school should collect only information needed for authorised educational, safeguarding, communication, financial and administrative functions.

Identity & contact information

Learner and parent names, contact details, identification information and emergency contacts required for school administration.

Education & attendance records

Class placement, attendance, assessments, reports, learning-support information and authorised school communications.

Fees & transactions

Invoices, receipts, balances, payment references and records needed to manage the family’s school account.

Digital-service information

Portal and app account details, device or service logs, notification preferences and support requests where those systems are used.

Photographs & media

Images or recordings used for identification, learning documentation or approved school communication, subject to the recorded consent.

Health & support information

Only the information genuinely needed to protect the learner and provide appropriate care, support or emergency response.

FAMILY RIGHTS & REQUESTS

Families should be able to ask, correct and raise concerns.

Requests are handled carefully because the school may need to verify identity, protect another person’s information or retain records for a legitimate institutional reason.

  • Ask what personal information the school holds about your family and why it is needed.
  • Request correction of information that is inaccurate, incomplete or no longer current.
  • Raise a concern about access, sharing, photographs, app permissions or the handling of a learner record.
  • Request deletion or restriction where the information is no longer required and no overriding retention obligation applies.
  • Receive a clear response or explanation when the school cannot complete a request exactly as submitted.
  • Report suspected unauthorised access immediately so the school can investigate and limit further exposure.

This page should be reviewed together with the school’s approved and dated policy documents.

Open 2027 Governance Handbook
Does this page replace the school’s approved policy documents?+

No. This hub explains the school’s core commitments and provides access routes. The approved, dated policy document governs where more detailed wording is required.

How can I correct my child’s information?+

Contact the school through the privacy or parent-support route. Identity verification may be required before sensitive records or account details are changed.

Can I ask the school to remove a learner photograph?+

Yes. Contact the school and identify the photograph or publication concerned. The school should review the recorded consent and remove or restrict future use where appropriate.

Should I send identity documents through WhatsApp?+

Avoid sending unnecessary identity documents, passwords or bank-card information through ordinary messages. Use an approved secure upload or portal route whenever one is available.

What should I do if I suspect unauthorised portal access?+

Change the password where possible, stop using the affected shared device, record what you observed and notify the school immediately through the privacy or support contact.

How often are policies reviewed?+

Policies should be reviewed whenever laws, school systems, service providers, grade offerings or operational practices change, and at regular institutional review intervals.
